Privacy and cookies on Table Tandragee

Table promise to take great care of any personal data we may hold about you.

This privacy policy is a further explanation of this.

Table

Table Church is a registered charity in Northern Ireland. We are also a listed company. Our legal headquarters are 31 Lisbane Road, Scarva. Our purpose is to bring the truth of the Gospel to Tandragee.

We own and have copyright to the content of this website, which has been constructed with and is hosted by Squarespace - a Google owned entity.

We are duty bound to make a statement pertaining to how we handle data in line with the requirements of the general data protection regulation (GDPR).

I (Ashley Craig) am the nominated Data Controller.

Privacy is an important principle in our work as a church. This notice is in reference to information that is gathered by this website and given to us through the digital interfaces that arise due to it existing, such as the contact form and links to other useful websites, for example to Churchsuite or Facebook. We are also aware that meta-data arising from internet use is generated by website visitors, although we have no real interest in this other than noting that it exists and will be held by Google for some purpose. At the moment the website is pretty much otherwise a simple read only site but we hope in time to have more interactive areas, a member section, blog, messaging board, app, second app etc. Please read this document at your convenience, if you have questions that are not fully answered please feel free to ask using our contact form or by asking me in person (this is Ashley Craig)

The info we collect

We don’t really have any desire to collect excessive or sensitive information, but we will hold and process information from our supporters for a number of reasons:

1- To keep a record of donations from our contributors and to keep a record of any communications we make between us.

2- In order to be able to claim gift aid on donations

3- To be able to send communications or marketing to our church members and supporters with information about projects, activities, scheduling and events where we have the permission to to do so.

4- Where this is a legal obligation eg HMRC, safeguarding etc.

5- In order to support local campaigning, fundraising and volunteering by our supporters.

6- Where there is a health concern.

We will typically only collect data in this website from the contact form which is for making contact with us or asking questions. This would usually require your name and an email address or other contact details. If we hold on to information given to us in this manner it is in good faith and for the purpose of answering your questions or putting you in touch with someone who can. Any information that we wish to store will be stored on a secure database accessed only by relevant staff. It will be deleted when no longer required and not held onto for longer than 24 months on occasions when there is no ongoing relationship with Table.

We are not interested in holding any of your data in order to then sell or give your information to any third parties. Although we maintain a social media presence this is primarily for marketing and information will not be deliberately shared without your notification.

Types of data

The only data we collect will be relevant to the nature of your interaction with Table.

If you sign up to an email newsletter, give a donation, sign up to be a regular contributor or engage with Table via Facebook or Instagram then we may record and retain personal information about you which pertains to the type of contact planned. For example: your name, your telephone number, your postal address, your email address. When donations have been made typically we will collect information such as account numbers and whether you are a UK taxpayer in order to be able to satisfy HRMC and claim to gift aid.

Occasionally it may be relevant to collect more sensitive personal data, for example health data, allergies, medically relevant information. If we envisaged a church outing to climb a mountain you could understand why this could become relevant.

We work with a number of secondary websites such as Facebook, Instagram and Churchsuite who are companies and have similar privacy oversight in their own right. See below.

How we use your data

We will only contact you for marketing when we have your consent, typically when there has been prior contact from you.

We will not send you material if you tell us that you do not wish to receive it. You can update this at any time. You can unsubscribe if you have received our marketing in error or no longer wish to receive it.

Typically we will only use your data for the following reasons:

1- To make contact following form contact, or other correspondence and to maintain a record of correspondences.

2- In administration: in processing donations, to clarify details for tax purposes, to say thank you.

3- To make internal record of your relationship with us.

4- To keep your data up to date.

5- To use IP addresses to identify the location of users to block disruptive use and to establish the number of visits from different countries

6- For market research and development purposes.

7- To ensure effective safeguarding.

Sharing your data

Information obtained by Table will usually only be used for that which it was primarily obtained.

Table will not share your data with third parties without your express consent except where there is a legal obligation to do so. For example: for tax purposes, where a crime is suspected or when there is a significant safeguarding concern.

You should not receive any other marketing or other communications from a third party as a result of communicating with us. We will not share any information with third parties to this end.

Facebook is also in regular use by the leadership team for similar purposes to the church website: to communicate and notify of events. Table are aware that data is captured in Facebook and that we can similarly access information of those interacting with social media posts placed on behalf of the church. In general the same principles will apply to information captured using sources such as these. It is worth noting that Facebook has its own privacy settings and should you be concerned it is certainly possible to block our Facebook page. We do not control Facebook or what it chooses to show to your feed, especially in regard to the app, and it is very possible for church posts to appear without your permission on Facebook without our knowledge or prior use of your data.

Storing your information

Your information is held when necessary in a secure database only accessible by the relevant staff. Your data is only accessible by appropriately trained relevant staff, volunteers and contractors. 

We do not at present accept donations by any means other than church suite and we will not ask for your creditor debit card details nor store them. The only financial information we will hold will be the basic data stored by church suite and shared with us to enable accounting and gift aid claims.

Under 16s

If you are aged under 16 and wish to contribute to Table as a volunteer, make contact with us by email or make a donation please attain the permission of your parent/guardian before giving us your personal data. Information pertaining to those under 16 years of age will be handled with the same care as anyone else’s, and the information collected will be similarly relevant.

Using this website

The information inside this website is for general information purposes only. This website is in compliance with UK laws and privacy requirements. Information therein is provided by Table and while we endeavour to keep the information up to date and correct, we make no representations or warranties of any kind, express or implied, about the completeness, accuracy, reliability, suitability or availability with respect to the website or the information, products, services, or related graphics contained on the website for any purpose. Any reliance you place on such information is therefore strictly at your own risk.

In no event will we be liable for any loss or damage including without limitation, indirect or consequential loss or damage, or any loss or damage whatsoever arising from loss of data or profits arising out of, or in connection with, the use of this website.

Through this website you are able to link to other websites which are not under the control of Table. We do not control the nature, content and availability of those sites. The inclusion of any links does not necessarily imply a recommendation or endorse the views expressed within them either.

Every effort is made to keep the website up and running smoothly. However, Table takes no responsibility for, and will not be liable for, the website being temporarily unavailable due to technical issues beyond our control. None of us are particularly brilliant at computing.

Cookies

Our website uses cookies. Cookies are small files your browser saves to your computer’s hard drive in order to save information and preferences about your interactions and usage of the site allowing the user to be able to have a better browsing experience. on your first use of the site your will likely be prompted to accept or not accept cookies. You should also have the capacity on your web browser or phone to block and deny all cookies emanating from this website and its Squarespace/google host and you are more than welcome to use this although it may slow the site down and give you a headache if you intend on repeat visits etc.

I understand that tracking software is used by google in this site to gather data on visitor numbers, use of external links, time spent, country. This information is then available to us and is of use in being able to see engagement and in market research. This will not capture personal information.

How long do we keep your information?

We will store relevant personal information as long as is necessary for the relevant activity, for example we will keep a record of donations subject to gift aid for at least seven years to comply with HMRC rules, and any revenue that is given the church through legacy will have data associated with it in perpetuity to enable accountancy work

If you request that we stop sending you marketing materials we will keep a record of your contact details and appropriate information to enable us to comply with your request not to be contacted by us. 

The accuracy of your information is really important to us. We want to ensure that we are able to communicate with you in ways that you are happy with, and to provide you with information that is of interest.

How quickly do we respond?

When it is requested that we desist from sending users marketing information we will typically respond in this timescale: 

24 hours from receipt of email 

28 days from receipt of​‘do not mail’ request.

We have no desire to hold incorrect information about you. Under the Data Protection Act you have the right to request a copy of the personal information we hold about you and to have any inaccuracies corrected. Employees and potential employees

If you apply to work or volunteer at Table we will only use the information you give us to process your application and to monitor recruitment statistics. We will give you foreknowledge if the use of your data is required to gain references and apply to Access-NI.

If you are unsuccessful in your job application, we will hold your personal information for 6 months after we’ve finished recruiting the post you applied for. After this date we will destroy or delete your information. 

If you begin employment with us, we will put together a file about your employment. We keep the information in this file secure, and will only use it for matters that apply directly to your employment. 

Once you stop working for us, we will keep this file according to our record retention guidelines. You can contact us to find out more about this but the time period will depend on your role. 

If you apply for a job or volunteering opportunity we will also collect information so we can assess your suitability for the role.

This Privacy Policy may be updated from time to time so you may wish to check it each time you submit personal information to Table Church. The date of the most recent revisions will appear on this page. If you do not agree to these changes, please do not continue to use the Table website to submit personal information to Table Church. If material changes are made to the Privacy Policy we will notify you by placing a prominent notice on the website.
